Overview

I led the UX design of a digital onboarding system to streamline the screening process, to not only increase accessibility for everyone interested but to also support the Reentry Affairs Coordinators (RACs) in managing volunteers more efficiently.

Challenge

  1. Reduce the onboarding time it takes for volunteers to be screened

  2. Make sure the process is hassle-free and accessible for all interested volunteers

  3. Design an easier way for RACs to keep track of and mange records

Interest Form Page

Enhance functionality of the interest form by making it a separate page on the site, as well as updating the backend logic to create a talent pool record of potential program volunteers.

Visual Accessibility

To ensure an inclusive experience, I followed WCAG 2.1 AA standards. We implemented high-contrast colors, ensured keyboard navigation throughout the form, and used semantic HTML for screen reader compatibility.

Usability testing included users with varying levels of tech literacy and vision impairments.

Application Sections

As part of an ongoing effort to support cognitive accessibility, I broke longer processes into smaller, clearly defined sections based on question types. I also avoided jargon and used plain, clear language throughout.

Depending on the security level of the volunteer opportunity, the questions in the Background section and the amount of required documentation vary.

Volunteer Application Status Page

Goal

To create a fully responsive, ADA-compliant mobile web portal designed to streamline volunteer sign-up and onboarding. Volunteers could apply online, upload identification, and begin training immediately—all from a single interface. The system also allowed them to track their application status and receive automated reminders for any incomplete steps.

On the administrative side, Reentry Affairs Coordinators (RACs) gained access to a centralized dashboard where they could review applications, monitor progress, approve volunteers, export data for compliance purposes, and communicate directly with applicants—all within one cohesive platform.

Result

The new digital onboarding system led to significant improvements in efficiency and user experience. Onboarding time was reduced by 40%, allowing volunteers to begin their roles more quickly.

RACs reported saving 6 to 8 hours per week on administrative tasks, thanks to streamlined workflows and centralized data access. Volunteer drop-off during the onboarding process decreased from 17% to 25%, reflecting a smoother, more intuitive experience.

Overall, the system improved clarity and engagement, particularly for first-time volunteers unfamiliar with the process.
